Maerak ("Maerak," "we," "us," or "our") provides an enterprise decision intelligence platform. This Privacy Policy describes how we collect, use, store, and protect information when you visit this website, write to us through its contact form, or use our platform.

1. Information We Collect

We collect the following categories of information:

• Contact Form: Your name, your email address, and, if you choose to give them, your company, your role, and your message. See section 4.
• Account Information: Name, email address, and organizational role when you are provisioned by your organization's administrator to use our platform.
• Usage Data: Log data, IP addresses, browser type, and platform interactions for security monitoring and service improvement.

2. How We Use Your Information

We use collected information to:

• Reply to messages you send us through the contact form or by email
• Provide, operate, and maintain our platform
• Authenticate users and enforce access controls
• Monitor for security threats and unauthorized access
• Comply with legal and regulatory obligations
• Generate reports and analytics for authorized users within your organization

3. Third-Party Services

• Microsoft Azure: Cloud infrastructure provider. This website, its contact form, and the email the form sends run on Microsoft Azure (Azure Container Apps and Azure Communication Services) in Canada. Our platform also runs on Microsoft Azure services.
• Google Fonts: This website loads its typeface from Google Fonts, so your browser requests the font files from Google's servers, which receive your IP address.

We only share data with third parties as necessary to provide our services and as described in this policy. We do not sell your personal information.

4. The Contact Form

• What it collects: Your name and email address (required), your company and role (optional), and your message. The page also sends which form you used, and a timestamp the page sets when it loads, which lets us refuse messages sent faster than a person can type.
• Why: Only to read your message and reply to you. We do not add you to a mailing list or use your message for marketing.
• Where it is sent: The website's server checks the message and sends it once, by email, to contact@maerak.com, through Azure Communication Services, with your email address as the reply-to address. Azure Communication Services processes the message to deliver it, in Canada, and does not keep its content.
• What the website keeps: Nothing of the message. The website does not store messages and does not write their content, your name, or your email address to its logs. It uses your IP address, in memory only, to limit how many messages one address can send in a short time.
• Retention: Your message is kept in the contact@maerak.com mailbox for as long as we need it to deal with your enquiry. To have it deleted, write to privacy@maerak.com.

5. Data Storage and Security

• Data is stored on encrypted infrastructure hosted in Microsoft Azure.
• All data in transit is protected by TLS 1.2 or higher.
• Access to systems is controlled via multi-factor authentication and role-based access controls. Our services sign in to Azure with managed identities and hold no stored passwords or keys.
• API credentials are never committed to source code.

6. Data Retention

• Contact form messages are kept as described in section 4.
• Application logs are retained for 30 days.

7. Your Rights

Under applicable Canadian privacy laws (PIPEDA), you have the right to:

• Access your personal information held by us
• Request correction of inaccurate information
• Request deletion of your personal information, subject to legal retention requirements
• Withdraw consent for data processing where consent is the basis for processing
• File a complaint with the Office of the Privacy Commissioner of Canada

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify affected users of material changes via email or platform notification. The "Last updated" date at the top of this page indicates when the policy was last revised.
